This policy explains what information the Booked Out Creatives Student Assistant ("the Assistant") collects, how it's used, and what control you have over it.
To run the Assistant: authenticating your login, generating responses to your questions, and giving you more specific advice when your business profile is relevant to what you're asking. We don't use your data for advertising, and we don't sell it.
To generate responses, your messages (and your business profile, when relevant) are sent to Anthropic's Claude API for processing. This is how the Assistant actually works — there's no way to generate a response without it. Anthropic processes this data under its own API terms and does not use it to train their models by default under standard API terms. We don't control Anthropic's systems directly, but we don't send your data anywhere else.
Your account, conversations, and profile are stored in a Postgres database hosted by Neon. The Assistant itself runs on Vercel, which hosts the application and handles the secure connection between your browser and our servers. Neither Neon nor Vercel use your data for anything beyond hosting and running the Assistant — they're infrastructure providers, not parties who access or use your information themselves.
Your account, conversations, and profile are kept until you ask us to delete them, or until your enrollment in the program ends and your account is closed. There's currently no automatic deletion window — see "Your rights" below for how to request deletion sooner.
Your chats are private. We don't have an admin dashboard for browsing student conversations, and nobody reviews them routinely. We reserve the right to access a specific conversation only if necessary — to investigate misuse of the Assistant, to fix a reported problem, or to comply with a legal obligation. This isn't something we do casually, and it isn't automatic.
Passwords are hashed, never stored in plain text. Access to the underlying database is limited to those operating the Assistant. No system is perfectly secure, but we take reasonable steps to protect your information.
We use a single session cookie to keep you signed in. We don't use tracking or advertising cookies.
You can edit or clear your business profile anytime from the "Edit business profile" link. To request a copy of your data, or to have your account and all associated data permanently deleted, email beachyphotoandfilm@gmail.com. We'll confirm once it's done.
The Assistant is intended for adult, enrolled Booked Out Creatives students. It isn't directed at children, and we don't knowingly collect information from anyone under 18.
If this policy changes in a way that matters — like a new third-party processor or a change to our access policy — we'll make reasonable efforts to let active students know.
